About inventory reports.
What is an inventory clerk?
An inventory clerk is an independent professional who documents a rental property's condition at the start and end of a tenancy. The report is the primary evidence used to determine deposit deductions.
Why use an independent clerk rather than an agent's in-house service?
An in-house clerk works for the firm managing the property. Adjudicators note that relationship at dispute. An independent clerk produces a report treated as fully impartial.
What makes a defensible inventory report?
Structure, photography, condition descriptors, and a clean audit trail. A room-by-room schedule of condition, full-colour photography under even daylight, descriptors that survive a dispute, meter readings, signed timestamps. That is what an adjudicator wants to see; that is what we produce.

How do I book an inspection?
Use the booking form: choose your service, property, and timing, then leave your details. We’ll be in touch to confirm.
How quickly can you attend?
Next working day is standard. For urgent instructions, contact us directly.
What if I need to cancel or reschedule?
Free with more than 24 hours’ notice. Under 24 hours may carry a rebooking fee. Contact us as early as you can.
How much does an inventory cost?
Pricing depends on size, service, and furnishing. Make a booking or contact us and we’ll confirm the price.
Can I book a full-tenancy bundle?
Yes. Inventory, mid-term, and check-out, scheduled at the outset. One booking, one accountable clerk, consistent documentation across the tenancy.
Reports & adjudication
The report and what happens after.
How long does it take to receive the report?
Promptly after the inspection completes. We confirm the expected delivery window with you when you book.
What format is the report delivered in?
A bookmarked PDF by email. Structured room by room, with embedded photographs and a clear audit trail of timestamps and signatures.
Can the tenant add comments to the report?
Yes. The comments window is typically open for five working days after delivery. Tenant comments are appended to the document; the original content is unchanged.
What happens if there is a deposit dispute?
We provide the full evidence pack (original report, photo set, comments log, signed acknowledgement) formatted to TDS, DPS, and MyDeposits.
How are fair wear and tear decisions made?
Fair wear and tear (the natural degradation from ordinary use over the tenancy length) is assessed against standard criteria and explicitly flagged in the check-out report. We document; we don't adjudicate. The deposit-scheme adjudicator makes the final call.
Can the report be used in court?
Yes. Our reports are designed as legal evidence. The audit trail of signatures, timestamps, and photographs meets the standard for county court proceedings in deposit disputes.

Is an inventory a legal requirement?
Not by statute, but without one a landlord is almost certain to lose a deposit dispute. Deposit schemes treat an inventory as a prerequisite for any deduction claim.
Which deposit schemes do you work with?
TDS, DPS, and MyDeposits. Zonghae evidence packs are formatted to all three.
How do you handle personal data?
Booking and inspection data is processed under GDPR and our Privacy Notice. We are ICO-registered. See the Privacy page for the full notice.
Do your clerks have DBS checks?
Yes. All attending clerks hold a current DBS check. Reference numbers on request.
