We collect only what we need to provide the inventory service. We do not sell data. We are ICO-registered.

1. Who we are

Zonghae Inventory is the data controller for the personal data we collect. Company number: 16284937. ICO registration: ZC172371.

2. What personal data we collect

When you use our booking form or contact form, we collect: name, email address, telephone number, property address and postcode.

When we conduct an inspection, we collect: property condition data, photographic records, meter readings, and, where applicable, tenant name and signature for the report acknowledgement.

We collect standard server logs (IP address, browser type, referring URL) for security and analytics purposes.


3. Why we collect it and the legal basis

We process booking and contact data to perform the contract you have entered into with us (Art. 6(1)(b) GDPR), specifically to provide the inventory service you have requested.

We process property inspection data for the same purpose, and to comply with our professional obligations as an independent inventory practice (Art. 6(1)(c): legal obligation).

We process server log data for our legitimate interests in securing the website and understanding usage patterns (Art. 6(1)(f) GDPR).


4. How long we keep it

Inspection reports and associated photographic records are retained for six years from the inspection date, in line with standard limitation periods for deposit scheme disputes.

Booking enquiries and contact form submissions that do not result in an instruction are deleted after 12 months.

Server logs are retained for 90 days.


5. Who we share it with

We do not sell or share personal data with third parties for marketing purposes.

We share data with the following processors: our email delivery provider (for sending reports), our website host. Both are under data processing agreements.

We may share data with deposit scheme adjudicators (TDS, DPS, MyDeposits) when an evidence pack is requested in connection with a deposit dispute. This is done in performance of our contract with you.


6. Your rights

Under GDPR, you have the right to: access the personal data we hold about you, correct inaccurate data, request deletion (subject to our retention obligations), object to processing, and request portability.

If you are unhappy with how we handle your data, you have the right to complain to the ICO at ico.org.uk.
